Who we are
Rent Lift is a trading name of Naras Real Estate Ltd, a company registered in England and Wales (company number 15654794) with its registered office at 5 Merchant Square, London, W2 1DP.
We are the controller of the personal information described in this policy, which means we decide how and why it is used. We are registered with the Information Commissioner’s Office (ICO), the UK’s data protection regulator, under registration ZB535669.
For anything about your privacy, contact us at inquiries@naras-pm.co.uk, on 0121 828 9881, or by post at the address above.
What we collect
From the rent offer form: the property postcode, property type, number of bedrooms, whether it is furnished, its condition, whether there is a mortgage and whether it is leasehold; your name, phone number and, if you give it, your email address; the best time to call; anything you choose to tell us; and a record of your consent and when you gave it. We also record which page you sent the form from, the site that referred you, and any campaign tags in the link you followed.
From the contact form: your name, phone number and message.
What you send us directly: if you email, phone or message us on WhatsApp, we keep the message and the contact details on it so we can reply and remember the conversation.
Technical information, for security: when you submit a form, we briefly record a scrambled version of your IP address to limit repeated or abusive requests. Our hosting provider also keeps standard server logs (IP address, browser type, the page requested and the time) to keep the site secure and fix faults.
We do not collect payment details through this website, and we do not ask for sensitive “special category” information. The site is for property owners, and we do not knowingly collect information about children.
How we use it
- To contact you, visit the property and prepare a written rent offer. Lawful basis: steps taken at your request before entering into a contract, and your consent to be contacted.
- To keep a record of enquiries and follow them up. Lawful basis: our legitimate interests in running our business and keeping accurate records.
- To prevent spam, abuse and unauthorised access. Lawful basis: our legitimate interests in keeping the website and your information secure.
- To meet legal duties if we go on to lease your property, such as anti-money-laundering checks and keeping accounts. Lawful basis: legal obligation.
We do not send marketing emails, we do not sell your details, and we do not make automated decisions about you.
Who we share it with
- Hostinger, our website hosting provider, which stores the website and the enquiries sent through it.
- Google (Gmail), which provides our email. The website sends a notification to our inbox when an enquiry arrives.
- WhatsApp (Meta), only if you choose to message us there.
- If we go on to lease your property, the local authority that places a household in it receives the property details it needs. It does not receive your enquiry.
- Professional advisers, regulators or law enforcement, where the law requires it or where we need to protect our legal rights.
Transfers outside the UK
Some of the providers above may process information outside the UK. Where they do, the transfer is covered by a safeguard recognised under UK data protection law, such as an adequacy decision or approved standard contractual clauses.
How long we keep it
- Enquiries that do not lead to a lease: up to 12 months after your last contact with us, then deleted.
- If we go on to lease your property: for the length of the lease and afterwards for as long as the law requires. Records kept for anti-money-laundering and tax purposes are generally held for at least five to six years.
- Scrambled IP addresses recorded to prevent abuse: deleted automatically after 24 hours.
Keeping it secure
The website uses HTTPS, so what you type into a form is encrypted on its way to us. Enquiries are stored outside the public part of the website, form submissions are rate-limited, and access is restricted to the people who need it. We will tell you and the ICO about a breach where the law requires us to.
Your rights
You have the right to ask for a copy of the personal information we hold about you, to have it corrected, to ask us to delete it or restrict how we use it in some circumstances, to object to uses based on our legitimate interests, to receive it in a portable format, and to withdraw your consent at any time.
To use any of these rights, email inquiries@naras-pm.co.uk. There is no charge, and we will reply within one month. We may need to check your identity first.
If you are unhappy with how we have handled your information, you can complain to the ICO at ico.org.uk/make-a-complaint or on 0303 123 1113. We would appreciate the chance to put things right first.
